You'll Be Live in Months, Not Years.
CaseManagement.ai follows a structured five-phase implementation process: Discovery, Configuration, Training, Go-Live, and Ongoing Support. A dedicated implementation specialist is assigned to every organization. Most organizations go live within 5–6 months of contract signing. Built on iCareManager's methodology, refined across hundreds of deployments in 30+ states since 2011.
Explore Your Implementation Journey
Click any phase to see what happens, who's involved, and how it connects to the rest of your rollout.
- Phase 1Months 1–2
Discovery
We start by learning your organization: your programs, service lines, documentation standards, state compliance requirements, and current workflows. Nothing is assumed. Every configuration decision is made with your team, not for them. This phase typically involves 2–3 working sessions with your leadership and program staff.
- Phase 2Months 2–3
Configuration
Your platform is built to match your workflow. Forms, templates, service types, role hierarchies, approval workflows, and state-specific requirements are all configured before training begins. You don't adapt to the software — the software adapts to you.
- Phase 3Months 3–4
Training
Live, role-based training sessions for case managers, supervisors, and administrators — delivered by your implementation specialist. Training is practical, scenario-based, and recorded for onboarding new staff after go-live. Role-specific sessions ensure no one sits through irrelevant content.
- Phase 4Months 5–6
Go-Live
Supported launch with your implementation team available in real time. Issues are addressed as they arise. We do not hand you a manual and disappear — we are on call during your first days on the platform.
- Phase 5Always-On
Ongoing Support
Post-launch check-ins, a dedicated support contact, and access to our support team via phone, email, and chat. Enterprise clients receive a dedicated account manager with quarterly program reviews and proactive optimization recommendations.

Questions About Implementation
How long does CaseManagement.ai implementation take?
Most organizations go live within 5–6 months of contract signing. The exact timeline depends on organization size, number of programs, complexity of data migration, and readiness of your team. Smaller single-program organizations often go live in 3–4 months. Large multi-site organizations with complex integrations may take 6–8 months.
What is included in every implementation?
Every implementation includes a dedicated implementation project manager, role-based live training sessions, full platform configuration, data migration support, and a 30-day post-go-live support window. These are included in all plans at no additional cost.
Do we need IT resources to implement CaseManagement.ai?
No dedicated IT resources are required. CaseManagement.ai is a cloud-based SaaS platform with no on-premises installation. Your implementation specialist handles all configuration. Standard integrations (billing clearinghouses, state payer platforms) are managed by the CaseManagement.ai team during implementation.
Can you migrate our data from our current system?
Yes. Data migration support is included in every implementation. For complex migrations from legacy EHR systems, advanced data migration is available as a premium add-on. Contact our team during your discovery phase to discuss the scope of your migration.
